Issuance of archive references to legal and physical persons

Receipt of application and documents for issuance of archive references, extracts from archive documents, copies of archive documents.

According to the appropriate legislative acts, state archives, issue the socio-legal archive references, archieve extract or notarized copy of documents to the legal and individual persons, institutions, organizations and enterprises that ensure their legal and judicial interests on the basis of the documents which stored in it.

 Request for social-legal character

Receipt of application and documents for issuance of archive references, extracts from archive documents, copies of archive documents. (This topic includes the following):

  • Request for confirmation of salary and total length of work
  • Request for state registration of civil status acts (birth and death)
  • Request for state registration of civil status acts (wedlock and divorce)
  • Request for confirmation of award
  • Request for confirmation of property rights


Issuance of archive references to physical persons

Required documents for issuing archive references  to the individual persons: 

  • Application;
  • Identity card; 
  • Power of attorney (in the case of application is presented by the representative);  
  • Appropriate retrieval information should mention in the survey according to the context of apply for issuing archieve references, extracts from archieve document, copies of archieve documents and documents related with the above-mentioned requests should add to the application (“Əmək haqqı və iş stajının təsdiq edilməsi haqqında sorğu”, “Vətəndaşlıq Vəziyyəti Aktlarının Dövlət Qeydiyyatı üzrə sorğu (doğum və ölüm)”, “Vətəndaşlıq Vəziyyəti Aktlarının Dövlət Qeydiyyatı üzrə sorğu (nigah və boşanma)”, “Təltif edilmənin təsdiq olunması üzrə sorğu”, “Mülkiyyət hüququnun təsdiq edilməsi haqqında sorğu”)    

Note: Only State Registration of Civil Status Acts (SRCSA) documents for Baku city till the year 1939 are stored in the National Archive Department. For the years after 1939 the SRCSA department responsible for administrative territorial units registering of birth and death have to be applied. Regularly each year the documents are received to the archives of next years for protection by relevant SRCSA departments.

Note: While the person entitled “Hero Mother” sending a request about it should notice date of birth of other children beginning from the fifth child.

Note: While citizen benefitting from this service is unaware of the exact date he/she can submit an approximate date within a one year period (maximum 5 years for the requests with a topic going back until 1920); maximum 1 year for the requests  with a topic as new as after 192
